1. Who we are
Flipped.ai (“Flipped”, “we”, “us”) is a hiring and upskilling platform operated by GAIUS NETWORKS INC, 244 Fifth Avenue Suite L256, New York, NY 10001, USA, and its affiliate Gaius Hyperlocal Pvt Ltd, IIT Madras Research Park, Taramani, Chennai 600013, India.
This policy explains how we collect, use, share, retain and delete personal information when you use flipped.ai and our related services, including our candidate, organisation and college portals.
When an organisation or college uses Flipped to manage its own candidates, students or employees, that organisation decides how their data is used and we process it on its behalf. In that case the organisation’s own privacy notice also applies.
2. Information we collect
Information you give us
- Account details: name, email address, phone number, password, and your role or organisation.
- Profile and career details: CV or resume, education, work history, skills, preferences and photos you upload.
- Hiring activity: job posts, applications, requisitions, interview schedules, feedback and offers.
- Learning activity: courses, assessments, coding submissions, results and certificates.
- Messages and support requests you send us.
Information collected when you use Flipped
- AI interview and assessment data: audio, video, transcripts, answers and, where proctoring is enabled, camera, screen and activity signals (see section 5).
- Device and usage data: IP address, browser type, pages visited, and log and diagnostic data.
- Cookies and similar technologies that keep you signed in and remember your preferences.
Information from third parties
- Google, if you choose to sign in with Google or connect Google Calendar (see section 3).
- Payment status from our payment provider. We do not store full card or bank details.
- Organisations and colleges that invite you to Flipped, such as your name, email and the role or programme you were invited to.
3. Google user data
Flipped lets you sign in with Google and lets interviewers connect Google Calendar. This section explains exactly what Google user data we access and what we do with it.
What we access
- Google Sign-In: your name, email address, profile picture and Google account ID.
- Google Calendar (only if you choose to connect it from Settings): the free/busy times on your calendar, and the interview events that Flipped creates on your calendar, including their Google Meet links. We do not read the titles, descriptions or attendees of your other calendar events.
How we use it
- Sign-In data is used only to create your Flipped account, sign you in and show your name and picture in the app.
- Calendar data is used only to offer candidates interview times when you are free, and to add booked interviews to your calendar with a Google Meet link, and to update or cancel those events when an interview changes.
We do not use Google user data for advertising, we do not sell it, and we do not use it to train or improve general-purpose AI or machine learning models.
Who we share it with
- Candidates you interview see only the interview time and the Google Meet link for their own interview. They never see your other calendar events or your free/busy schedule.
- Our hosting and infrastructure providers store the data on our behalf under contracts that require them to protect it.
- Authorities, only where the law requires it.
We do not share Google user data with anyone else.
How long we keep it and how to delete it
- We keep Sign-In data for as long as your Flipped account is open.
- We keep the Google Calendar access token only while your calendar is connected. Free/busy results are used to show available times and are not stored.
- You can disconnect Google Calendar at any time from Settings in Flipped. This deletes the stored access token. Interviews already booked stay on your calendar.
- You can also remove Flipped’s access from your Google Account at myaccount.google.com/permissions.
- To delete your account and the Google user data we hold, email support@flipped.ai. We delete it within 30 days, except where the law requires us to keep a record.
Flipped’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
4. How we use information
- To provide the platform: accounts, job posts, applications, interviews, assessments, courses and certificates.
- To match candidates with roles and show organisations relevant applicants.
- To schedule interviews and send invitations, reminders and updates.
- To process payments, credits and subscriptions.
- To keep Flipped secure, prevent fraud and enforce our Terms of Service.
- To provide support and respond to your requests.
- To understand how Flipped is used and improve it.
- To meet legal obligations.
Where data protection law requires a legal basis, we rely on performing our contract with you, your consent, our legitimate interests in running and improving Flipped, or a legal obligation.
5. AI interviews, assessments and proctoring
Flipped uses AI to run interviews, transcribe and evaluate answers, and score assessments. When proctoring is enabled for an interview or assessment, we may use your camera, microphone and screen to check that the session is completed fairly. We tell you before a session starts and ask for your permission in the browser.
AI evaluations help organisations review candidates. They do not make final hiring decisions on their own: people at the hiring organisation review results and decide. You can contact the organisation or us to ask for a human review of an outcome.
7. Retention and deletion
We keep personal information for as long as your account is open or as needed to provide the service. Organisations and colleges that use Flipped may set their own retention periods for data about their candidates and students.
When you close your account or ask us to delete your data, we delete or anonymise it within 30 days, except where we must keep it longer to meet legal, tax or accounting obligations, resolve disputes or enforce our agreements. Copies in backups are removed as the backups expire.
8. Security
We protect personal information with encryption in transit, access controls and monitoring. Only staff and providers who need the data to do their job can access it. No system is perfectly secure, so please keep your password private and tell us straight away if you suspect unauthorised access.
9. Your rights and choices
Depending on where you live, you may have the right to:
- Access the personal information we hold about you and get a copy.
- Correct information that is inaccurate or incomplete.
- Delete your information.
- Object to or restrict certain processing.
- Receive your information in a portable format.
- Withdraw consent at any time, where we rely on consent.
- Ask for a human review of a decision made using AI.
- Complain to your local data protection authority.
These include rights under the EU and UK GDPR, India’s Digital Personal Data Protection Act 2023 and US state privacy laws. To use any of these rights, email support@flipped.ai. If an organisation manages your data on Flipped, we may pass your request to them.
10. International transfers
We operate in the United States and India, and our service providers may process data in other countries. Where we transfer personal information across borders, we use appropriate safeguards such as standard contractual clauses.
11. Children
Flipped is not intended for children under 16, and we do not knowingly collect their personal information. If you believe a child has given us personal information, contact us and we will delete it.
12. Changes to this policy
We may update this policy from time to time. We will change the “Last updated” date above and, for significant changes, notify you by email or in the app.
